Reporting

Section 7 of Ordinance No. 85 of the Rector of the University of Warsaw of 18 May 2021 on the rules for improving professional qualifications of the employees of the University of Warsaw imposes an obligation on the heads of organisational units to report to the Human Resources Office on training and other development activities carried out by employees.

What is the report used for?

The Office of Employee Affairs prepares, on the basis of unit reports, an aggregate report for the entire UW for the annual Rector’s Report and other reports for external purposes, such as the University’s Social Responsibility or the implementation of activities resulting from the HR Strategy for Researchers at the UW.

 

Reports are submitted through the Szkolenia UW application, at https://szkolenia.bsp.uw.edu.pl/.

Logging into the application is done with a CAS account.

To gain access, you must first:

  1. log in to the UW Training application;
  2. send an authorization to process personal data available in the UW Training application,
  3. signed by the head of the employing organizational unit, to the contact address given above.

The template for authorization to process UW personal data is attached as Appendix 4 to the UW Data Protection Policy.

What periods do we report for?

Reports are submitted on a semi-annual basis, each time by the last day of the month following the end of the half-year for which the report is submitted (i.e. by 31 July for the first half of the year and by 31 January for the second half of the year), via https://szkolenia.bsp.uw.edu.pl/ Instructions can be found at the link.

What should be included in a report?

The report should include all training and other development activities (courses, studies, mentoring, coaching) carried out by the organisational unit, either independently or in collaboration with external bodies, for its employees and employees of other UW units. However, do not report on conferences and mandatory health and safety training.

There is no need to report on the training organised by the Digital Competence Centre, the Human Resources Office, the Bursar’s Office, the Welcome Point, the Office for International Research and Liaison, and the Department for Information Assets Management. Who can submit a report?

The coordinators authorised by the heads of the organisational units are authorised to submit a report for the personal data processing in the UW Training service.

  1. the 1st level coordinator in the UW Training service can enter data on training and participants;

the 2nd level coordinator has the same powers as above, and, in addition, they can submit the training courses entered by the 1st level coordinators to the report and generate a report on all training courses attended by the unit’s employees, not only those entered by themselves.

What data should be prepared for the report?

  1. Employee group to which the employee belongs and their position: employee groups and employment positions are imported from USOS, and their list is not subject to change. If a person is employed in more than one position, the one relevant to the training in which that person has participated should be selected for reporting (e.g. training for administration – administrative position, etc.).
  2. Name of the organisational unit in which the employee performs their duties: names of the organisational units are imported from USOS, and their list is not subject to change. If a person is employed in more than one organisational unit, the one relevant to the training in which that person has participated should be selected for reporting.
  3. Name of the development activity: e.g. the title of the training course or the name of the studies to which the employee has been referred.
  4. Thematic area of the development activity: the thematic area results from the training programme and usually its title.

  1. Number of teaching hours: 1 teaching hour = 45 minutes; if the time of the development activity was counted in clock hours, please convert it to teaching hours and then round it up to the full number of teaching hours.
  2. Source of funding (e.g. IDP, EIRU, UW, Erasmus): if the current list of funding sources does not include the one from which the development activity was financed, please let us know at bsp.szkolenia@uw.edu.pl
